About the position:
We are seeking to recruit an Office Administrator to join our office services team to work full-time in the Dublin office to help grow and sustain relationships with our partner businesses, volunteers, and schools.
The position will involve:
- Serving as the first point of contact for calls and inquiries to the JAI Head Office and managing general office administration duties including post, print etc.
- Coordinating office services and operations and ensure adequate office supplies are in place.
- Managing programme materials procurement, ordering and monitoring.
- Overseeing the work of our critical suppliers who print, assemble and package the kits of educational materials that issue to our host schools for use by our volunteers and teachers.
- Assembling and packing spare programme materials (as required) and workshop materials when ordered by the team around the country.
- Working with the education team and the training function to prepare programme materials, distribute volunteer packs and dispatch programme kits to schools.
- Becoming adept in using our systems to track kit dispatch.
- Reconciling materials account to ensure invoices match orders.
- Supporting the education team on programme evaluations by disseminating forms, data collection and data entry, and contributing to the analysis of responses including feedback from students, teachers, and volunteers.
- Supporting colleagues requesting assistance on administrative matters from time to time.
- Providing support for event managers such as sourcing, preparing and printing collateral for use at national and regional events.
- Training in our safeguarding protocols and qualifying as a Vetting Liaison Officer with the National Vetting Bureau to assist with the volunteer vetting application process.
- Procuring new IT equipment and phones/ upgrades for staff and controlling the use of resources such as marketing collateral like banner stands and other shared resources.
- Managing staff accommodation & travel arrangements and assist with arranging offsite meetings.
- Assisting the marketing team with procuring and ordering new collateral.
Candidate Requirements
Previous experience in a similar role would be advantageous and the successful candidate will be required to:
- Have excellent organisational skills.
- Communicate effectively.
- Interact with all stakeholders in a professional manner.
- Have excellent attention to detail.
- Manage priorities and multitask where necessary.
- Engage with colleagues to meet deadlines and work as a team player.
- Have good IT skills, including Microsoft Teams, Word, Excel, and Outlook and a willingness to acquire new skills and adopt new IT practices which are fundamental to this role including becoming proficient on our bespoke CRM and kit dispatch systems.
